This Privacy Policy explains how eCardForever (eCardForever.com) handles personal data. It is written to align with common expectations under Malaysia’s Personal Data Protection Act 2010 (PDPA) but is not legal advice. Contact us if you have questions about your data.

1. Introduction

eCardForever (“we”, “us”, or “our”) respects your privacy. The Platform is available at eCardForever.com. This Privacy Policy describes how we collect, use, disclose, and safeguard personal data when you use our eCardForever digital identity platform, including our website, account features, public profile pages, themes, designs, QR sharing, and related tools (the “Platform”).

The primary purpose of the Platform is public information sharing. Information you intentionally submit for publication on your profile is not treated as private content and may be publicly visible on the internet.

We operate from Malaysia. By using the Platform, you acknowledge this Policy and our Terms & Conditions.

2. Information We Collect

We may collect the following categories of information:

  • Account data — username, email (if provided), password (stored in hashed form), and optional profile fields such as display name or country.
  • profile content — information you add to your digital card (photo, job title, phone, email, links, social profiles, custom text, backgrounds).
  • Technical data — device type, browser, IP address, timestamps, and logs needed for security and service operation.
  • Usage data — how you interact with the Platform (e.g. sign-in events, theme changes, feature usage) to improve reliability and experience.
  • Communications — messages you send to our support team.

3. User Account Information

When you register, we process data necessary to create and secure your account. Authentication may use session tokens stored in your browser. You are responsible for safeguarding your credentials.

Account settings may include optional fields. We process registration consents (Terms and Privacy acceptance) to demonstrate that you agreed to our policies at sign-up.

4. Public Profile Information

Your profile is designed to be shared. Fields you publish on your card—such as your name, photo, role, company, contact methods, links, documents, videos, and social profiles—may be visible to anyone who visits your public URL, follows a shared link, or scans your QR code.

You choose what to publish. Do not add confidential, private, sensitive, proprietary, restricted, regulated, or protected information unless you intend for it to be public and have the lawful right to disclose it.

No expectation of confidentiality exists for information you intentionally publish on the Platform.

5. QR & Profile Sharing

QR codes and share links point to your public profile. We do not control how recipients use information they view on your card. If you include “save contact” or similar features, visitors may store your details on their devices under their own control.

Third parties may cache, archive, copy, store, screenshot, redistribute, or otherwise retain publicly available profile content outside our control.

Connection or bookmark features (where available) may record interactions between visitors and your profile as described in the Platform.

6. Cookies & Analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and understand aggregated usage patterns. These may include:

  • Essential cookies — required for authentication and core functionality;
  • Performance/analytics — to measure traffic, errors, and feature adoption in a privacy-conscious way.

You can manage cookies through your browser settings. Disabling essential cookies may limit account features.

7. How We Use Information

We use personal data to:

  • Provide, maintain, and improve the Platform;
  • Authenticate users and protect against fraud or abuse;
  • Display your profile to visitors according to your settings and chosen theme/design;
  • Respond to support requests;
  • Comply with legal obligations and enforce our Terms;
  • Send service-related notices (not unsolicited marketing unless you opt in, where applicable).

Under the PDPA, we process data based on lawful purposes such as fulfilling our contract with you, legitimate interests in operating a secure platform, and your consent where required.

8. Data Security

We implement reasonable technical and organisational measures to protect personal data, including access controls, encrypted transport (HTTPS), and hashed password storage. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

9. Public Visibility of Profiles

Information on your public profile is intentionally accessible online. Search engines may crawl and index publicly available profiles and content. Third-party services may cache, archive, copy, store, redistribute, or otherwise retain publicly available content.

We cannot control content once it has been indexed, cached, archived, copied, screenshot, or redistributed by third parties. We do not guarantee removal from search engines or third-party caches after publication or deletion on the Platform.

Review your card content regularly and remove anything you no longer wish to display on the Platform.

10. Your Rights

Subject to Malaysian law, you may have rights to access, correct, or request deletion of your personal data, withdraw consent where processing is consent-based, and lodge a complaint with relevant authorities.

You can update many profile fields directly in the editor. For account deletion or data requests, use in-app options where available or contact us using the details below.

11. Third-Party Services

The Platform may link to external websites or services (e.g. social networks, messaging apps, calendar tools). We are not responsible for their privacy practices. Embedded fonts, hosting, or infrastructure providers may process limited technical data on our behalf under appropriate agreements.

12. Data Retention

We retain personal data for as long as your account is active or as needed to provide the Platform, resolve disputes, and meet legal requirements. When you delete your account or other business data, that content is permanently removed from the Platform. We do not retain deleted business content in platform archives, history tables, or business-content audit logs.

The Platform is not intended to function as a permanent archival or historical record system. Previous versions, revisions, snapshots, or historical records of your profile content may not be retained or made available to you. You are responsible for maintaining your own copies of information you wish to preserve. We do not guarantee retrieval of deleted content or previous profile versions.

Operational, security, audit, and monitoring metadata (such as deletion timestamps, event types, and administrative actions) may be retained according to our security and compliance policies. Disaster recovery relies on infrastructure backups, not in-application business archives.

13. International Access

Your data may be accessed from outside Malaysia when you or your visitors use the internet. By using the Platform, you understand that data may be processed in Malaysia and, where applicable, in jurisdictions where our service providers operate, with safeguards appropriate to the nature of the data.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. Material changes may be communicated through the Platform or by email where appropriate.
